Who we are

Vanaways UK Ltd (company number 09467651, registered office: 68 Macrae Road, Eden Office Park, Ham Green, Bristol, BS20 0DD) operates this referral portal. We are the data controller for the personal information you provide here. We are authorised and regulated by the Financial Conduct Authority (FRN 940695).

What we collect

  • About you: your name and email address when you sign up, your phone number if you provide it.
  • About people you refer: the name, email, phone number and any notes you submit on their behalf.
  • Usage data: pseudonymised IP (SHA-256 hashed daily-salted), browser user-agent, pages you visit, anonymous session id, link clicks. We use this to detect abuse and improve the service.
  • Sign-in data:Supabase Auth handles the magic link and Microsoft sign-in tokens; we don’t see your password.

How we use it

  • To send referrals to your dedicated fleet manager for follow-up.
  • To pay your reward when a referral buys a van.
  • To keep your dashboard up to date with referral status.
  • To protect the service from spam and bots.

We do not sell your data or pass it to third parties for marketing. We do share lead details with our CRM provider strictly so fleet managers can call your referral.

How long we keep it

  • Profile + referral records: until you ask us to delete them.
  • Anonymous click logs: 12 months, then aggregated and IP-hashed forever.
  • Auth tokens: as long as your session is active (max 12 months).

Your rights

You can ask us at any time to (a) see a copy of everything we hold about you, (b) correct anything wrong, (c) delete your account and its data, or (d) export your data. Email leads@vanaways.co.ukand we’ll respond within 30 days. You can also complain to the ICO at ico.org.uk.

Cookies

We use one essential cookie (vw_sid) so we can link your clicks together for attribution. No third-party tracking or advertising cookies. No analytics that share your data with anyone else.
